Dynamic Promo by GebhardCS
Privacy Policy
Effective September 25, 2026
This policy explains how information is handled through Dynamic Promo’s property directories, public kiosks, event displays, and management portal.
Who receives your information
When you submit a leasing inquiry, space reservation request, or event inquiry, you provide information to the property-management business, client, or exhibitor identified on the screen. That business decides how to respond to your request and how to use the information for its business purposes.
GebhardCS provides and operates Dynamic Promo. Our platform receives, stores, and transmits submissions on behalf of the client. Authorized GebhardCS personnel and service providers may process information to deliver notifications, maintain the service, provide support, and protect the system. GebhardCS also handles account, support, and security information for its own operation of the service. When GebhardCS itself is the identified exhibitor or business, it also receives that inquiry directly.
Information processed
Depending on the form, information may include your name, email address, phone number, leasing preferences, requested dates and times, event type, attendance, and information you choose to type. Management accounts contain account and access details. Service operations may also process IP addresses, browser/device information, timestamps, authentication cookies, and activity or security records.
Do not enter passwords, payment-card information, Social Security numbers, medical information, or other sensitive personal information into public inquiry fields. Provide only information needed for your request.
Voluntary submissions and follow-up
You can browse a directory without submitting contact information. Fields marked as required are needed only if you choose to send that form. By sending an inquiry, you ask the identified business to contact you about that inquiry. A reservation request may also trigger an email containing a form to complete and return to the client’s designated address.
Submitting a request does not provide blanket permission for unrelated marketing. Any separate marketing choice shown by an exhibitor is distinct from a request for service or information. The client is responsible for its communications and any additional notices or permissions required for them.
Access, service providers, and disclosures
Submissions are available to authorized client representatives and platform administrators, and may be sent to the email recipients configured by the client. Hosting, email-delivery, and other service providers process information as needed to operate the service. Information may also be disclosed when required by law or reasonably necessary to investigate misuse, protect security, or protect legal rights.
Copies received by a client, its staff, or its email provider are subject to that recipient’s own practices. A form you email back to property management goes to the return address shown in the message.
Public-kiosk precautions
A kiosk is a shared screen. People nearby may see information while you enter it. Close the form or use Start Over when you finish, and do not leave a completed form visible. Kiosk inactivity resets help clear information from the screen; they do not delete requests already submitted to the client or copies sent by email.
Cookies, security, and retention
The service uses cookies where needed for sign-in and request security. We use access controls and other safeguards to help protect information, but no system or email transmission can be guaranteed completely secure.
Information may be retained to handle inquiries, administer client accounts, support the service, maintain security records, and meet legal obligations. Retention depends on the type of record, the client’s instructions and business needs, and applicable requirements. Email copies and backups may have different retention periods. Contact the client for details about its retention practices or to request deletion.
Your choices and privacy requests
For questions about a submission, follow-up communications, access, correction, or deletion, first contact the property manager, client, or exhibitor shown on the kiosk. Available rights and exceptions depend on applicable law. We may need to verify your identity and coordinate with the client before acting on a request.
For questions about Dynamic Promo’s operation or help identifying the responsible client, contact GebhardCS at privacy.gcs@gebhardcs.com. Include the property or event name and approximate submission date. Do not send sensitive identification documents unless specifically requested through an appropriate channel.
Children and other websites
These business inquiry services are not directed to children under 13. A parent or guardian who believes a child provided information should contact the client or GebhardCS. Linked websites and services have their own privacy practices.
